When Salesforce Managed Services Make More Sense Than Another Full-Time Hire

Many companies reach the same point with Salesforce: the platform is important, the backlog keeps growing, and somebody needs to own it. The obvious answer is often to hire another Salesforce administrator. Sometimes that is exactly the right move. Sometimes it is not.

The real question is what kind of work is sitting in the backlog.

One Backlog Usually Contains Several Different Jobs

A mature Salesforce environment rarely needs only administration. The work may include architecture, Flow automation, custom development, integration changes, reporting, data cleanup, user support, releases, security, new products, and larger strategic initiatives.

One full-time hire may be excellent at some of those areas and weak in others. Building an internal team that covers all of them can make sense at scale, but many organizations are not at that scale yet.

When an Internal Hire Makes Sense

  • There is enough consistent work to keep the person focused on Salesforce full time.

  • The work is primarily within a skill set that one person can reasonably own.

  • The company wants deep day-to-day internal ownership and has leadership capable of supporting the role.

  • The organization is large enough that building an internal Salesforce function is strategically important.

When Managed Services Makes More Sense

  • Demand changes month to month.

  • The backlog requires a mix of admin, architecture, development, and integration skills.

  • The company needs senior expertise occasionally but does not need a full-time architect.

  • Projects keep appearing after go-live and the platform requires continuous improvement.

  • The organization wants one accountable team rather than coordinating several independent contractors.

Managed Services Should Not Mean Cheap Fractional Administration

A useful managed services relationship should be able to move between small improvements and difficult technical work. Some weeks may involve permissions, reporting, and automation. Others may require API design, custom development, a new business process, or architecture for a larger initiative.

The value is not simply access to hours. It is continuity. The team already understands the org, the business decisions behind it, the integrations, and the backlog. That context makes future work faster and reduces the constant restart that happens when every project uses a different team.

The Best Model Can Be Hybrid

Managed services and internal ownership are not mutually exclusive. A strong internal admin or product owner can work extremely well with an external team that provides architecture, development, integrations, and surge capacity.

The right operating model depends on the volume and complexity of work. If Salesforce is business-critical but the backlog is too broad for one person and too variable for a large internal team, managed services can provide a practical middle ground.
